CRM Quick Start

Get oriented with Contacts, Pipeline, and Projects — the core CRM building blocks in BusyBots.

Every voice agent call, BusyBot conversation, and manual entry feeds into the same CRM. This guide covers the three core areas.

Contacts

Contacts is your central record of people and companies. Each contact tracks standard details (name, email, phone, company, job title) plus a pipeline stage:

Lead → Qualified → Opportunity → Proposal → In Negotiation → Won / Lost

From a contact's detail page you can add notes, comments, and tasks, view its full activity timeline, and see every call or conversation linked to it — including ones handled entirely by your voice agents or BusyBot.

Pipeline (Deals)

Pipeline tracks deals through a 5-stage sales process:

Qualification → Proposal → Negotiation → Closed Won / Closed Lost

Each deal has a monetary value, priority, and expected close date, and is linked to a contact. Drag deals between stages on the pipeline board, or update them by asking BusyBot.

Projects

Projects is for tracking delivery work — onboarding, implementation, or any multi-step internal process — separate from the sales pipeline. Projects move through:

Backlog → To Do → In Progress → Review → Done

Projects can optionally link to a contact and support checklists for breaking work into sub-tasks.

How agents and BusyBot fit in

Every call your voice agents handle, and every action BusyBot takes, writes back to this same CRM. A customer who calls your voice agent, gets a note added by BusyBot, and later has their deal stage updated by a team member — it's all the same contact record, with a complete activity history.

Verification

Create a test contact, then ask BusyBot to "look up" that contact by name — it should return the record you just created, confirming the CRM and BusyBot are reading the same data.
